Marketplace Integration

Marketplace Integration

OpenLedger's Marketplace Integration lets you import settlement reports from Amazon, Shopify, Etsy, eBay, TikTok Shop, and Walmart -- breaking down lump-sum payouts into individual sales, fees, refunds, and taxes.

Why You Need This

When you sell on a marketplace, your bank sees a single deposit. But that deposit hides dozens of individual transactions: product sales, referral fees, fulfillment charges, advertising costs, refunds, and taxes. Without breaking these down, you can't answer basic questions:

  • How much did marketplace fees actually cost me this month?
  • Which platform is most profitable after fees?
  • What are my Schedule C deductions from marketplace fees?

OpenLedger solves this by importing your settlement files and categorizing every line item.

Getting Started

1. Add a Marketplace Account

Navigate to Marketplace in the sidebar and click + Add Marketplace. The setup wizard walks you through:

  • Platform selection -- Choose Amazon, Shopify, Etsy, eBay, TikTok Shop, or Walmart
  • Store details -- Enter your store name and seller ID
  • Tax handling -- Configure Marketplace Facilitator Tax settings

OpenLedger automatically creates a clearing account to track settlement deposits.

2. Import a Settlement

Click Import Settlement on the Marketplace dashboard:

  1. Select your marketplace account
  2. Browse for your settlement file:
    • Amazon: Download the Settlement Report (TSV) from Seller Central > Reports > Payments
    • Shopify: Download the Payout CSV from Settings > Payments > View payouts
  3. Preview the parsed results -- verify line counts, gross sales, and net payout
  4. Click Import

3. Review Unmapped Fees

After importing, OpenLedger auto-categorizes known fee types (referral fees, FBA fees, shipping, etc.). Any unrecognized fees appear in the Review Queue:

  • Select a category for each unmapped fee
  • Check "Remember this rule" to auto-categorize the same fee in future imports
  • Use "Apply to all" for fees that appear across multiple settlements

4. Reconcile with Your Bank

Open a settlement and click Match to Deposit to link it to the corresponding bank deposit. OpenLedger suggests matches based on amount and date, with penny-variance tolerance.

Reports

Profitability Report

Navigate to Marketplace > Profitability to see:

  • Per-channel breakdown -- Gross sales, referral fees, fulfillment fees, advertising, storage, returns, and net profit per marketplace
  • Fee waterfall -- Visual breakdown showing how fees reduce your gross sales to net profit
  • Margin percentage -- Instant visibility into which platform costs you most

Schedule C Integration

The profitability report includes a Schedule C Summary mapping marketplace income and fees to IRS Schedule C lines:

  • Line 1: Gross receipts (marketplace sales)
  • Line 10: Commissions and fees (referral, fulfillment)
  • Line 8: Advertising
  • Line 22: Supplies (shipping materials)
  • Line 27a: Other expenses (storage, subscriptions)

Tips

  • Import regularly -- Monthly or bi-weekly keeps your data current and review queue manageable
  • Use "Remember this rule" -- After a few imports, most fees will auto-categorize
  • Check clearing balances -- The clearing account should zero out when all settlements are reconciled
  • Compare platforms -- Use the profitability report to see which marketplace gives you the best margins
